Working with Tasks

Working with Tasks

Tasks are an easy way for clinic staff to coordinate their work.  Each staff member can assign tasks to other staff members.  When a new task is assigned, an on-screen alert will advise the staff members that the task is assigned to of the new task. When a task is within an hour of being due (or is already past due), the task icon at the top of the page will flash to notify the individual of that fact.

Creating Tasks

Tasks can be created manually or automatically using actions.  Some tasks are also automatically created by the software.  For example, if you use our Antech integration, a task will notify the provider when test results are available from Antech. For unassigned labs, a task will notify the longest existing administrator on the account automatically.

Tasks can be created manually with the following steps:
  1. Clicking on the bell icon at the top of each page and selecting the “new task” option, or under the “tasks” view in Schedule, or by clicking the plus icon at the top right corner of the task module
  2. Complete the form that appears
  3. Click on Save + Done

From the patient profile:
  1. Navigate to the patient profile
  2. Click the tasks tab and select "New Task"
  3. Fill out the form that appears
  4. Click Save + Done
A task can be assigned to one or more individuals, or to groups of individuals by role.  Once a task is created, an alert will notify the person or people that a new task has been assigned to them.
Tasks can also be created automatically using actions in inventory items or in bundles via the Actions tab.

Viewing Tasks

Tasks that have been assigned to you can be viewed by clicking on the bell icon at the top of the page and selecting the “assigned to me” option, or by selecting the “assigned to me” option under the tasks view in the Schedule. You can also view tasks that you have created or tasks by status. By default, you’ll see the list of tasks that are due on the current day, as well as any past due tasks.  You can scroll between days by clicking the arrow icons, or jump to a specific day by clicking the calendar icon.

Reports

There are several reports that can be used to oversee task activity in your practice.  These include reports that summarize task activity, list open tasks, and list completed tasks.  Tasks reports are available under the “staff” tab in Reports.  Please note that these reports can only be viewed with proper permissions.
